IT Licence and Asset Manager

The Opportunity

In your role as a IT Licence and Asset Manager for the Service Desk Team, you will help us achieve our goals and deliver success on behalf of our customers by being responsible for all software and hardware asset management activities, with regular on-site work at the Cambridge office.

Reporting to the Service Desk Manager, you’ll work with business units to ensure all business applications (SaaS, Microsoft, Linux, Open Source) and IT hardware are inventoried and maintained through standard asset management processes and procurement of assets is in line with business requirements.

Day to Day

  • Understanding business use of existing application estate, working with business teams to proactively identify all licencing agreements including SaaS, Subscription and On Prem applications, reviewing renewal terms, establishing, and maintaining software asset repository
  • Submitting proposals to software renewals, including budgetary approval and financial processes to ensure smooth onboarding of new solutions
  • Working with business teams to identify requirements and assist in adoption of new and existing applications, providing support to end users
  • Documenting process for end-to-end software and hardware provision, including procurement, approvals, licence harvesting, asset storage and disposal
  • Contributing to internal policies regarding appropriate software usage, hardware asset tracking, and enabling security reviews for applications for all business teams and end users
  • Managing hardware and software assets, ensuring assets are available, recorded accurately and disposed or reused in line with internal policy, considering security, compliance, and environmental factors
  • Procurement of all user hardware, ensuring assets are available for onboarding new starters and as replacements, based on specific categorisation of job role

About you

Must haves

  • Establishing and maintaining software asset repository, including costs and renewal terms, aligning with existing approved software catalogue
  • Understanding of different licencing models, particularly for SaaS based solutions
  • Proactive approach to software management across all business teams
  • Recent experience of Microsoft 365 and Microsoft Windows licencing
  • Understanding of end user hardware and hardware asset management tools to track, update and analyse asset records
  • Financial and Budgetary Experience, submitting proposals
  • Documenting process for software and hardware asset management
  • Contributing to policies such as security reviews for software and hardware inventory policies
  • Identifying and documenting upgrade and functionality available for existing software

 

Great to haves

  • Experience of ISO 27001 asset management processes and policies
  • Planning for increase in headcount, for both software and hardware assets
  • Basic understanding of standard infrastructure hardware and configuration concepts
  • Working knowledge of the cradle-to-grave purchasing cycle (MOSCOW, ITT, RFP, RFQ, Supplier Negotiation, Stakeholder Management)
  • Awareness of self-service application and OS deployment process
