PMO Ops Assistant - 12 Month FTC

The Opportunity

The role of PMO Ops Assistant plays a crucial role in ensuring that projects and deployments are adequately resourced and that resource allocation aligns with organisational priorities. The key responsibilities of a Resource Analyst in our PMO include:

  • Working across the whole Professional Services (PS) organisation in order to ensure that we can deliver ARIC to our customers with the right people at the right time. This is a critical role to ensure effective management of our business, providing exceptional service to our customers and supporting our people
  • Managing and running this process which empowers our people to deliver exceptional service to our customers
  • Work closely with or CloudOps Team to schedule deployments, in line with project requirements
  • The role will be responsible for communicating with team leads to highlight and resolve issues, and empower decision making through accurate resource capacity, demand and workload information

This is a 12 month FTC hybrid role based in our Cambridge office, so you will ideally be comfortable coming into the office 2-3 times a week. If you’re interested in the role but require more flexibility, please speak to us!

Day to Day

As a company we hire people with a willingness to adapt to a variable role, so along with the key responsibilities below, we ask for ownership of any other duties as required:

Resource Planning

  • Collaborate with project managers to understand project requirements and resource needs
  • Use PM forecasts, and sales pipelines to understand resource requirements and identify potential bottlenecks

Resource Allocation:

  • Work with PS team leads to allocate resources efficiently based on project priorities and timelines
  • Use Billability data to report on utilization of resources across multiple projects
  • Consider skill sets, availability, and project requirements when assigning resources

Capacity Management:

  • Use the provided reporting to support the PS team leads in monitoring the overall capacity of the organization and individual teams
  • Identify overutilized or underutilized resources and support the PS team leads in taking corrective actions.
  • Anticipate potential resource constraints and escalate to the PS Team leads and or Head of PS Operations & Project Management

Collaboration with Project Managers:

  • Work closely with project managers to understand project milestones and deliverables.
  • Ensure forecast data is kept up to date, identifying anomalies and making corrections in the data where needed
  • Provide regular updates on resource allocation and availability

Resource Tracking and Reporting:

  • Ensure accurate records of resource allocation and availability are available to Project Managers and PS Team Leads.
  • Generate reports to communicate resource utilization, availability, and potential risks.

Continuous Improvement:

  • Identify opportunities to improve resource management processes
  • Work with the Head of PS Operations and Project Management to implement best practices to enhance the efficiency of resource allocation

Communication

  • Facilitate communication between different teams and departments regarding resource needs.
  • Ensure that stakeholders are informed about resource allocation decisions
  • Communicate changes in resource plans or constraints promptly

Risk Management

  • Identify potential risks associated with resource availability and allocation and raise them with the relevant leadership
  • Support the Development of contingency plans to address resource-related risks
  • Work proactively with the PS Team Leads to mitigate risks and prevent disruptions

About you

Must haves:

  • Demonstrative experience in administration responsibilities
  • Have used Project Online and Power BI Resource Management functionality and reports
  • Excellent communication skills
  • Highly organised and able to work in a fast-paced environment with lots of moving parts
  • Prioritisation and able to manage the demands of varying stakeholders from Senior Leadership, Commercial and Projects
  • Takes responsibility for resource issues and owns them through to resolution

Great to haves:

  • Preferred experience of coordinating resources either in a PMO or CloudOps capacity
